In Digiforma, "learners" are the participants in the different training sessions. The same person who attends two different training sessions will therefore be counted twice.
The number of learners is not the number that appears in your database, but rather the number of participants that your centre has per year. Therefore, we always talk about participants and not potential clients.😉

🚨 Excess number of students included in the subscription
Digiforma automatically calculates the number of learners 365 days a year. If an overage is detected at any point, a red alert message will appear at the top of your account, warning you that your subscription is no longer suitable and that a block will be activated soon. If this the case for you, contact us via chat and we will help you update your subscription👍
The billing year for your subscription begins on the date of your first invoice, i.e. the day you registered with Digiforma. However, you can check the number of students you have reached at any time during the year, simply by applying the correct dates, i.e. if I want to calculate the number of students I have, for example, on 15 January 2022, I must count from 15 January 2021, regardless of the date of the invoice.
This date filter is applied from the Activity Tracking tab of your Digiforma account. Use the date filters to apply the 365 period you want to see, and click "Apply":
The number of participants will appear below the number of hours completed, as shown in the screenshot (☝️).
Please note, the participants in sessions that are in Draft mode are not counted, but the rest of the columns are.
📝 How do I check the status of registered learners?
From the Learners/ dates tab of a session, you can consult the list of students who are enroled. Remember: Students whose status is undecided, won or finished will be also be counted in the participant quota of your subscription 👇
In short: the learner quota included in your subscription will not be reset one year after your first invoice, it is calculated continuously over the course of the year.
