How does Digiforma's planning calendar work?

Digiforma provides you with a planning calendar to record and organise all your training sessions.

Digiforma offers you an overview of your organization's calendar and access to detailed information about the different training sessions recorded in your account with the Calendar feature.

Browse the planning calendar

To access the calendar, go to the "Home > Calendar" tab. You have 3 different navigation options to make your user experience more fluid:

1. The calendar view, which gives you a complete overview of all sessions scheduled in a date range or on specific dates:

2. The Schedule view, which gives you detailed information about your training sessions. You can also use this navigation option to find all your sessions in list format:

3. The Timeline view allows you to see the occupancy rates of your trainers, a room or a training session over a given period:

Whichever browsing option you choose, you can select a frequency to display the information. You can choose between the following periods: day / week / month 👆

The information displayed in this schedule includes the titles of your sessions and the modules that comprise them.

The colors associated with the sessions correspond to the different programme categories (previously defined in your library) to which they are linked. You will see both time slots with date ranges and specific dates.

Additionally, by clicking on a particular training time slot, you can get detailed information about that time slot and the session it refers to in the "Calendar" section👇.

From this "Calendar" section, you can access the following information with a single click:

  • The training session in question

  • Information about the selected time slot

  • Tracking session attendance

  • Student and teacher

In each case, you can click on the relevant information to be redirected to the corresponding page.

Search filters

You can use a search bar to select the information you want to display on your calendar. You can enter the name or code of the session in question. It looks like this:

There is also a filter bar to make it easier to organize and sort the information displayed on your calendar.

To access this bar, you can click on the individual filter categories located above the calendar. The "Clear All" button at the far right allows you to reset all the filters selected in this bar.

To make it easier to view your planning calendar, a display menu is available.

Allows you to choose whether or not to display weekend days and any unavailability information entered by your teachers.


Unavailability of your teachers

Once you've created login accounts for your teachers, they'll be able to use their account to indicate dates and times when they won't be available. This information will be displayed in light grey on your calendar once you've turned on teacher unavailability visibility.


Managing calendar conflicts

When managing your training sessions, scheduling conflicts may arise, for example, if you assign the same trainer or the same classroom to two or more sessions that take place at the same time. The software will automatically detect these conflicts (trainer and classroom) and a notification will appear on the corresponding page to alert you.

You can then deal with these conflicts by clicking on the session information.

You can deal with these conflicts by clicking on the session information to either make changes to them or ignore them, you can do this collectively by using the cross in the notification box, or individually using the trashcan icon specific to each of the conflicts detected.


Exporting Digiforma's calendar

Digiforma allows you to export your planning calendar to another calendar outside the software or in PDF format. This feature is compatible with Google and Apple (iCal) calendars and allows you to export your calendar, including any filters you have applied, as needed.

Please note: This is an export, so if you make any updates to your planning calendar in Digiforma you will need to perform the export again.
