How do I import a company database?

Discover how to efficiently import your company (corporate client) databases to automatically complete their files in Digiforma

Thanks to the massive data import feature, Digiforma allows you to integrate your company databases using an Excel file (what we call a matrix file). This way, you can centralise all of your data in the same place and optimise the use of the platform.

๐Ÿš€ Data import

To add a database, go to the Data > Corporate clients tab. Once you're there, select the "Import" option:

By clicking on this option, we will reach a new page from which we can download the matrix, specially designed to import company databases ๐Ÿ‘‡

The file will serve as a basis for transferring company data. You must integrate all the information from your databases without modifying the order or title of the columns; Simply copy and paste into the Excel document. Remember that it is not necessary to fill in all the columns for the import to work. ๐Ÿ˜‰

Please note that the columns with a yellow background are mandatory. Regarding company data, the only mandatory column is "COMPANY." This means that you must enter the data in it for the import to work.

Another column to pay attention to is "CRN," which should only contain unique values. Be careful not to add extra spaces or numbers. Furthermore, the columns regarding the "HONORIFIC OF LEGAL REPRESENTATIVE" and "STATE/ LOCAL AUTHORITY" require specific values to be entered (to be selected from the drop-down menu) or must simply be left empty.

To enter the pre-set values, you must click on the field, at which point the arrow for the drop-down menu will appear and you can select the value you need.

For a successful import, be sure to double check that there are no significant errors in these columns!

After entering the data you can return to your Digiforma account to continue with the import. From the "Import or update your corporate clients data" page, click on the "Import an .XLSX file" button and select the excel that you just prepared to import your data into Digiforma ๐Ÿ‘‡

To confirm the success of the operation, a success message indicating the number of companies imported will be displayed automatically at the end of the process.

๐Ÿ› ๏ธ Add custom fields

In addition to all the labels proposed in the forms and personal files (First name, last name, email, addresses, etc.), Digiforma allows you to create personalised fields to complete your databases more accurately.

To preserve the consistency of your databases and use them properly, these fields can be taken into account during the import. To do this, we must insert into the downloaded matrix a column whose title will be exactly that of our custom field(s).

When creating custom fields, we recommend that you pay special attention to the "mandatory" label ๐Ÿ‘‡

If you select this box and mark it as required, all cells in the column corresponding to the field must be completed to carry out the import. Otherwise, it will not be successful.

If, on the other hand, you do not check the mandatory box, if this column is empty, there will be no problem importing your databases.
