How do Digiforma's online payment links work?

The online payment link allows you to offer your clients the option of paying for your training courses using Stripe.

Digiforma allows you to send an online payment link to your clients after invoicing.
This allows them to pay for their training simply by clicking on the link.

The payment is then sent directly to your Stripe account.
Digiforma offers 2 payment options:

  • By credit card

  • By SEPA direct debit

Link your Digiforma account to Stripe and activate online payment

The first step in using the online payment links in Digiforma is to link your Digiforma account to Stripe.

Please note: For online payment to be active, you must have created an online catalogue from your Settings > My Brand - Online Catalogue menu, in the section "Configuration specific to the online catalogue." The payment page will be hosted on the same site as your online catalogue.

Once this is done, you can send payment links to your clients.

Sending an online payment link

To do this, choose a relevant training session and go to the Management > Finance menu. Once inside, find the relevant learner or client and either select an existing invoice or create one if you haven't already:

You need to number your invoice and then generate it so that it locks. Here is where you can number your invoice.

Finally, generate the invoice in order for it to be complete and changes to be "locked."

If the lock icon does not appear after you have done this, be sure to refresh the page so that the software takes your actions into account.

⚠️ Please note: Only locked invoices can generate a payment link.

Once your invoice is locked, if the "Send a payment link" option is greyed out and cannot be clicked, this means that your customer does not have an email address.

In this case, use the left-hand menu to go their file within Data > Learners or Corporate Clients to assign one to them.

If everything is in order, you will see the options "Payment link" and "Send a payment link" in the menu, appear in black as in this screenshot:

The Payment link button will take you directly to the payment page, allowing you to send this page to your client by the means of your choice.

The Send Payment Link to Customer button allows you to send the payment link to your client by email directly from Digiforma!

Once the payment link is sent, your client will be sent to your online catalogue and will be able to click on a button that will redirect them to the Stripe platform to make the payment!

Your client will then be able to choose between:

  • Payment by Bank Card

  • SEPA Direct Debit payment

The SEPA direct debit is a European payment method using the Bank Account IBAN. Your clients must accept a mandate that gives the company (you) the authorisation to debit the account for the amount of the invoice by providing the name and IBAN of the account.

Note: To offer payment in several installments, it will be necessary to create several invoices on Digiforma and send several payment links.

Customise the payment link sending email

You can change the email to send the payment link by going to your Settings tab > Email templates > Client emails:

This is what the email template created by our team looks like:

What happens once a payment has been made?

When your clients have paid, they will automatically receive a payment receipt email sent from Digiforma (in addition to the one sent by Stripe).

You can find this email (still among the templates intended for your customers) below the payment link email to modify it if you wish:

On your side, you will receive an email from Stripe informing you that you have just received a payment as well as an email from Digiforma informing you that the invoice has been paid with a link that redirects you to the invoice page if necessary.

In Digiforma, the invoice's status will automatically be changed to "paid" and the payment line will be automatically added with a link sending you to the Stripe payment page.

Please Note: Stripe charges a fee for each transaction.

Now you have everything you need to use online payment with Digiforma!
