How do you customise your email templates?

Save time by creating email templates and using them across multiple sessions!

Digiforma allows you to customise your email templates in order to send all your documents directly from the platform.


How to customise email templates?

To do this, go to the Settings > Email Templates tab:

In the section that interests you, select the email template to modify. You will then have this preview:

  1. Template name: to rename the email template as you wish, enter the text in this field. This name will help you distinguish the different templates in the send window.

  2. Language: this field only shows the languages in which the Digiforma interface is translated.

  3. Start over with another template: if you wish to retrieve the template of an email that already exists in your account or if you wish to use the default template provided by Digiforma.

  4. Email subject: customise the subject of your email so that your recipients can clearly identify your communications.

  5. Email body: compose the message you wish to send to your recipients here. Create as many templates as you need to cover different situations and communications.

  6. Drag-and-drop tags: here you'll find all the available HTML tags that can be integrated into the body of your message.

📤 Send emails from Digiforma

There are 2 ways to use these email templates:

1. Email associated with a document 📃

Go to the Session Menu to generate the document linked to this email (a course start notice, for example). Once the document has been generated, you can send it by email by clicking on the associated icon.

You will then just have to choose the email template you wish to use, and click on the "Send" button:

2. Simple email (follow-up, instructions or reminder):

Sending a so-called "simple" email corresponds to emails that do not contain an attachment. Two methods are available to you depending on the type of message and the recipient concerned. Thus, the simple email will be available:

  • within sessions via the Tracking > Emails page and using the “Learners”, “Clients” and “Trainers” buttons.

  • from the sales funnel business opportunity page, via the "Contacts" section and provided that you have the correct contacts entered in your company and/or learner files.

How to reset an email template to the original Digiforma template?

To reset your email templates to the most recent version offered by Digiforma, go to the Configuration > Email Templates page, then select the relevant email template. In the drop-down menu, choose "Digiforma default template" and click on the "Reset" button:
